Provide proactive, day-to-day support to Program and Project Managers in planning, coordinating, and controlling IT projects according to defined standards and methodologies.
Set up and manage project structures, including detailed OPEX/CAPEX budget planning, tracking, and procurement alignment (incl. SAP entries).
Support accurate and up-to-date project reporting and documentation in ServiceNow (e.g. cost plans, risks, milestones, benefits, and status reports).
Prepare high-quality management-level presentations and reports for C-level and business stakeholders, translating technical details into clear insights.
Track and document action items, open points, and project risks, coordinating follow-ups with relevant stakeholders (PMs, line managers, procurement, etc.).
Coordinate change request and change order processes, ensuring updates are reflected in cost, schedule, and supply plans.
Assist in the development and rollout of project-related Change Management & Communication (CM&C) activities across impacted teams and business units.
Prepare and deliver training content and communication plans for organizational change, including resistance management, lessons learned, and sustainability measures.
Actively contribute to portfolio management by clarifying open topics with PMs and supporting reporting processes.
Support tendering and procurement activities including preparation of tender documentation and bidder evaluations.
Skills & Qualifications
University degree in a technical field, Business Administration, Project Management, Computer Science, Business Informatics, or a comparable qualification
Preferably certified in project management (e.g., IPMA Level B)
Excellent understanding of IT organizations (e.g., IT infrastructure, IT security) and financial management, as well as IT projects
Strong knowledge and understanding of IT project processes and their dependencies and interfaces with other corporate functions (e.g., Finance, Controlling, Procurement)
Strong knowledge and understanding of IT project management, finance and controlling, stakeholder management, and reporting (e.g., project portfolio).
Proficient in project management and process improvement tools (e.g., ServiceNow, ITIL, Lean, Scrum)
Minimum 4 years of relevant professional experience in the management of IT projects, portfolios, and/or IT programs
Minimum 4 years of relevant professional experience in end-user change management and communication (CM&C)
Fluent English communication skills (written and spoken) required and German language skills
